Attention Pope and Young Members:
Information regarding the upcoming elections
Voting to be held for the following positions:
President, 1st Vice-President and 2 Directors (must be a Senior or Regular Member).
2nd Vice-President (must be a General Member).
Election Rules of the Pope and Young Club - June 2017
The following are the Pope and Young Election Rules. It will include dates, forms to be used and instructions on how the elections of the Pope and Young Club will be performed.
November 1st - Nomination period opens and candidates contact the office to inform them of their intent to run for office.
December 1st Deadline for nominations - Please note, the deadline is one month earlier this year.
December 15th - Resumes submitted and the Ethics Committee starts the review process.
January 5th - Ethics Committee will respond to the candidates with suggestions of any changes to be made. Candidate has 5 days to make changes and return to the office. If any changes still need to be made the candidate has 48 hours to complete the changes.
January 20th - Goal for mailing the 2nd Vice-President ballot to the General Membership. As a bulk mailing, it takes a little longer for members to receive.
January 25th - Goal for mailing the election ballots to the Regular / Senior Membership for the President, 1st Vice-President and 2 Board of Director positions.
March 1st - The likely date for counting the ballots by an independent third party. The office will send each candidate, by e-mail or USPS, their choice, a copy of the Election Rules, Nominee Election Form, Sponsor for Nominee Form, Candidate Resume for the Office Form, Conflict of Interest Policy and Responsibilities of the Board of Directors.
Forms to be signed and returned to the office by December 1st include Nominee Election Form and Sponsor for Nominee Form.
The Sponsors for the Nominee Form should be filled out by five General Members as sponsors for the nominee for 2nd Vice-President.
For the office of President, 1st Vice-President and Director the form should be filled out by five Regular/Senior Members as sponsors of the nominee. This is per Article IV of the club’s By-laws.
The Nominee Election Form is used to verify the position you are running for, lists the current statement from The Pope and Young Club’s By-laws, asks about any possible game law violations, and or felony, and that you agree to run a fair and respectful campaign. You are agreeing to comply with our Conflict of Interest Policy and Code of Conduct.
Form to be signed and returned to the office by December 15th include Candidate Resume for the Office of the Pope and Young Form.
The Candidate must fill out a candidate’s resume form. This will include telling the members about yourself, involvement with bowhunting and the Pope and Young Club, Platform Statement, and your vision for the future of the Pope and Young Club. All of this needs to be done in a fair and respectful manner. While you may disagree with past or current board decisions and directions, no personal attacks or demeaning statements towards any member will be allowed. You will be asked to run your campaign while following the Club’s Article II: Code of Conduct under our Rules and Regulations as well as Article III: Elections.
Consequences for not following these rules may include removal from the club. The Ethics Committee will be communicating with the Board of Directors during the election process.
Candidates running for President, 1st Vice-President and Board of Director positions will be afforded the opportunity to access one set of address labels for the full voting membership (Regular and Senior Members). The purpose of such would be to personally mail a pre-election “campaign mailing,” if you so choose. Prior to sending this campaign mailing out, you would need to submit a copy to the Ethics Committee for review. They will contact you if edits are needed.
